Users Details - User / Employee Relationship

Overview:

This document discusses the relationship between a USER and the assigned employee. The company's ITMS Administrator/Power User will be required to setup users and their assigned employee with their logon password, module access, security settings, and  an internal employee password if required.

 

Firstly, there needs to be a clear understanding of the difference between a USER password and the Employee Internal password, due to iTMS having two purposes that require a password.  The USER password is used to logon to iTMS, and an internal Employee password is used to access restricted functions within iTMS. These entities and their passwords are directly linked and a user cannot use another Employee’s internal password. See diagram below for explanation.

 

 

The ‘Employee Details’ record serves to identify and record data in relation to a particular employee, e.g. records created, orders, job tickets, invoices, etc.  Over time employees will come and go, but employee codes must never be re-cycled or deleted due to data linked to an employee’s code within the iTMS system,  However USER logons can be recycled in relation to employee movements.

 

The ‘User Information’ window enables users to see how many User logons (not licences) have been created, and which USERs are logged on and the employee the user is assigned too. If the User number is green they are currently logged onto the system.   This feature also shows the last date the USER was logged on, and the time. The ‘User Information’ feature is located within the Core Data or Personnel module, click on the ‘User Information’ icon to display the “User INFO” window.
